Moontower Design & Build is looking for a highly organized, detail-oriented Sales & Appointment Setting Coordinator to help support the early stages of the sales process behind high-end custom residential projects. This role will focus primarily on qualifying incoming leads, organizing client and project information, supporting follow-up communication, and helping the sales team move qualified opportunities through the process smoothly.
The ideal candidate is a strong written communicator who enjoys client support, lead research, CRM organization, and thoughtful follow-up. This person does not need to be an aggressive salesperson, but they should be comfortable communicating professionally with potential clients through email and, when needed, by phone. They will work closely with the Sales Director and internal team to make sure incoming leads are reviewed, prepared, followed up with, and scheduled appropriately.
Key Responsibilities
- Review and qualify incoming leads from website forms, emails, referrals, and marketing channels
- Respond to or help organize initial client inquiries in a professional and timely manner
- Research client, project, and property details to help determine project fit and lead quality
- Ask basic qualifying questions through email and occasional intro or follow-up calls when needed
- Help prepare lead information before discovery calls, sales appointments, or internal review
- Assist with appointment setting, calendar coordination, follow-up emails, and light customer service communication
- Update JobTread with lead details, notes, communication history, project information, and client information
- Maintain accurate sales data, lead reports, scorecards, and follow-up tracking
- Support weekly sales meetings by taking notes, tracking action items, and creating tasks
- Assist with proposal formatting, post-meeting notes, presentation updates, and follow-up documentation
- Help organize and improve sales follow-up workflows, including future automated email campaigns
- Provide light marketing coordination support when needed, including sharing lead feedback, assisting with email messaging, and supporting basic Canva or content updates
- Use Google Sheets and other online tools to keep information organized and accessible
Qualifications
- Strong written English communication skills required
- Clear and professional verbal English communication skills preferred
- Experience in sales support, lead qualification, appointment setting, customer service, executive assistance, or administrative support
- Comfortable communicating with potential clients and asking thoughtful qualifying questions
- Highly organized, detail-oriented, and able to manage repetitive data-entry tasks accurately
- Experience using CRMs or project management/sales software; JobTread experience is a plus
- Comfortable with Google Sheets, email tools, online calendars, and remote collaboration platforms
- Able to work independently while staying responsive to a remote team
- Available during Central Time business hours
- Experience in architecture, construction, interior design, real estate, home services, or professional services is a plus
- College or secondary education preferred
Pay and Benefits
- Remote independent contractor position
- Pay range: $10-$15 per hour. Compensation may vary based on communication skills, relevant experience, sales support experience, and technical proficiency.
